Job Description

Based at our Auckland Location, the 3PL Administration Team Leader plays a pivotal role in managing all administrative functions that support our clients’ warehousing operations.

This position oversees a dedicated team responsible for ensuring the smooth coordination of receivals, stock movements, order entry and tracking, dispatch administration, and pallet transfers. You’ll also manage the arrangement and booking of transportation using both Mondiale VGL’s fleet and third-party logistics providers, ensuring timely and efficient delivery based on customer requirements.

As a key link between clients, warehouse operations, and transport teams, this role requires strong leadership, attention to detail, and a focus on delivering excellence in customer service and accuracy across all warehousing administration processes.

Key Responsibilities

Lead and support the 3PL Administration team to deliver operational excellence and meet service expectations.

Oversee the end-to-end administration of client warehousing activities, including receivals, dispatches, stock movements, and order tracking.

Communicate effectively with clients, suppliers, and internal teams to manage warehouse and transportation requirements.

Ensure warehouse orders are processed seamlessly, accurately, and in a timely manner.

Coordinate transport and delivery services while maintaining cost efficiency and service quality.

Manage billing and invoicing processes linked to warehousing and transport operations.

Monitor performance and proactively identify opportunities for process improvement.

Maintain and update client Standard Operating Procedures (SOPs).

Provide reports, data analysis, and insights to support operational and customer service excellence.

Ensure compliance with all health, safety, and company policies, fostering a safe and efficient work environment.

Skills and Competencies

Proven leadership experience with the ability to train, develop, and motivate team members.

Strong understanding of warehouse operations, 3PL environments, and administrative processes.

Excellent time management and organisational skills, with the ability to manage multiple priorities effectively.

High attention to detail with strong analytical and problem-solving abilities.

Proficient in WMS, CRM, and BI tools.

Demonstrated customer service excellence with strong communication and stakeholder engagement skills.

Positive and proactive work ethic, with the ability to work independently and collaboratively within a team.

Commitment to continuous improvement, innovation, and operational efficiency.
