The Administrative Assistant performs intermediate to advanced secretarial duties. Supports several people and manage work through exercising judgment in approach on more complex and confidential work. Involved in managing employee records and higher responsibility with department budget.
Accountabilities
• Meeting coordination for Directors and Managers, including scheduling, logistics, documenting and assisting with prioritization of action items
• Plan and coordinate departmental events, off-sites and team builds
• Actively manage calendars, room bookings, and travel arrangements for Director and Managers, including supporting documentation
• Own the system on-boarding process for new hires (direct and contract) on behalf of the Directors and Managers, including interview arrangements, system access requests, and first day orientation
• System administrator for employee and contractor changes, and new hires
• Execute on various systems and processes including travel/expense claims, timesheets, organizational changes, training, compliance, offsite events and general office planning
• Complete Expense Reports on behalf of Directors and Managers, and maintain supporting documentation
• Provide application assistance to team members on: Microsoft Office, SharePoint, SAP, Access Management, LMS, SailPoint, Travel Management, TEAMS, and Software Center
• Assist with the department budget and inter departmental agreements in coordination with other teams in Project Delivery Excellence
• Create requisitions and process vendor invoices in SAP
• Prepare data/information analysis, scorecards, correspondence and presentations and formatting/editing.
Required
• 5 to 10 Years of Experience as an Administrative Assistant
• A diploma in business, office administration or a related field
• Experience coordinating meetings, planning department events
• Experience managing calendars, booking rooms and making travel arrangements for directors and managers
• Experience with supporting organizational changes for employee and contractor changes, and new hires as a systems administrator
• Experience with processing travel/expense claims, timesheets
• Experience with MS Outlook, Word, and Excel, PowerPoint
• Experience with Microsoft Office, SharePoint, SAP, Access Management, LMS, SailPoint, Travel Management, TEAMS, and Software Center
