The vision of the Neurodiversity Education Research Center (NERC) is based on our belief that Neurodivergent individuals can become scientists. Our mission is to build a Neurodiverse STEM workforce by providing opportunities for academic, physical, social, and emotional growth through teaching and learning Science, Technology, Engineering, and Mathematics (STEM). This is accomplished by the use of research-based teaching and learning strategies, high-performance standards, and sensory integration including behavioral, speech, occupational, and mental wellness support.
Neurodiversity Education Research Center operates Science Prep Academy, a high-quality, high-tech, private school created to serve the unique academic, physical, social, and emotional needs of students with Autism. Science Prep Academy’s mission is to equip and prepare students for an emerging 21st Century global scientific workforce in computer science and renewable energy technology.
Science Prep Academy uses a career and college pathway curriculum, giving students opportunities to acquire knowledge and skills that will help develop their potential as active lifelong learners and responsible members of a global workforce. This goal will be achieved by providing students with dual enrollment opportunities at local vocational schools, colleges, and internship experiences with local companies.
Position Summary
The ABA /School Office Manager serves as the backbone of center operations, ensuring seamless daily functions by managing client services, staff coordination, scheduling, administrative tasks, and community engagement.
Duties and Responsibilities
Manage and optimize staff and client schedules
Oversee daily administrative operations
Order and manage clinic supplies
Welcome families and visitors, conduct orientations and tours
Verify insurance and manage client enrollment
(Preferred) Support billing and claims processing
Coordinate staff attendance and ensure proper coverage
Oversee new hire onboarding and orientation
Maintain clinic social media accounts professionally
Follow up with prospective families and assist with lead conversion
Support clinical staff and manage client intake schedules
Ensure HIPAA compliance and accurate records
Keep the clinic clean, organized, and welcoming
Build strong relationships with families and staff
Perform a variety of clerical and administrative tasks to support the school’s operations.
Answer phone calls, direct them to the appropriate staff, and greet visitors while addressing their inquiries.
Maintain accurate and organized filing systems.
Manage the office budget and ensure compliance by all staff members.
Monitor and order necessary office supplies, furniture, and equipment as needed.
Arrange meeting details, take minutes, and prepare correspondence promptly. Ensure all meetings have calendar invites with one-day notifications.
Ensure all school materials are accurate, timely, and compliant to school standards.
Assist the Campus Director with student enrollment processes, including school tours, managing applications, processing tuition agreements, and payments.
Accurately and promptly enter data, adhering to school policies and procedures.
Work with external partners such as the Salvation Army KROC for classroom and building needs.
Maintain school calendars and schedule locations for meetings and activities.
Act as the hospitality coordinator for school events, meetings, and conferences.
Provide excellent customer service by communicating professionally and courteously.
Cultivate a responsive and supportive environment.
Support new projects and perform other duties as assigned.
Experience
Qualifications:
Minimum 2 years experience in an ABA Therapy Center is required
RBT certification is preferred (or completion of 40-hour training and competency assessment)
Bachelor’s degree in business, healthcare administration, ABA, psychology, or related field preferred
Strong organizational and multitasking abilities
Knowledge of ABA Therapy operations is strongly preferred
Excellent communication, customer service, and team coordination skills
Comfortable using scheduling software, Office Suite, and social media tools
Physical Requirements/Working Conditions
Working Conditions:
Normal office environment.
Travel to and from assigned locations as required.
Physical Demands:
Routine physical activities associated with a typical office environment.
Regularly required to talk or hear.
Frequently required to stand, walk, sit, use hands, reach, climb or balance, and stoop, kneel, or crouch.
Occasionally lift and/or move up to 25 pounds.
Specific vision abilities including close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
