Position Summary:

The Academic Coordinator will be responsible for managing academic operations, ensuring Ontario Secondary School Diploma (OSSD) compliance, and maintaining inspection readiness across all departments. This role demands a deep understanding of Ontario Ministry of Education policies, private school inspections, and the documentation required for maintaining good standing with the Ministry. The coordinator will work closely with teaching staff, administrators, and external evaluators to uphold academic integrity, curriculum standards, and student record accuracy.

Key Responsibilities:

Inspection & Compliance Management
Lead and coordinate the preparation for annual or periodic OSSD inspections by the Ontario Ministry of Education.
Ensure all school documentation (student records, OSTs, report cards, attendance, and course outlines) is complete, accurate, and compliant with OSSD guidelines.
Maintain up-to-date knowledge of Ministry policies, PPMs, and regulatory updates.
Liaise with inspectors, respond to compliance findings, and ensure timely corrective actions.
Academic Administration & Support

Oversee academic scheduling, course registration, credit tracking, and student progression towards OSSD completion.
Support teachers in developing and maintaining course outlines aligned with Ontario Curriculum expectations.
Manage student files, transcripts, and OSRs (Ontario Student Records) with precision and confidentiality.
Ensure consistent implementation of assessment and evaluation policies across departments.
Faculty Coordination & Training

Provide training and support to teachers on academic documentation, report writing, and OSSD-related policies.
Conduct regular academic audits to ensure consistency and accuracy of grade submissions.
Collaborate with faculty for curriculum alignment, lesson planning, and continuous improvement.
Quality Assurance & Reporting

Develop and monitor academic performance metrics and compliance dashboards.
Prepare inspection reports, audit summaries, and academic status reports for leadership.
Ensure accuracy in submissions to the Ministry and maintain school inspection files and correspondence.
Student & Parent Communication

Support academic counseling and communication regarding OSSD credit pathways, graduation requirements, and course selections.
Assist in resolving academic or transcript-related concerns with transparency and professionalism.
Qualifications & Experience:

Bachelor’s or Master’s degree in Education, Administration, or related field
Minimum 3–5 years of experience in OSSD academic coordination or inspection preparation in an Ontario-registered private or inspected school.
Strong understanding of Ontario curriculum standards, Ministry inspection processes, and OSSD documentation requirements.
Proficient in academic software systems (e.g., AmpEducator, SIS, or Trillium).
Excellent written and verbal communication skills.
Strong attention to detail, organization, and compliance mindset.
