POSITION TITLE: Accounting Coordinator

BASIC FUNCTION:

Accounting and administrative tasks in support of several business office functions. Prepare and maintain documentation for processing Accounts Receivable and Accounts Payable for both company locations. Provide front-line support to create welcoming and helpful atmosphere via phone or in person. Assist Inside Sales personnel to provide excellent customer service.

SPECIFIC DUTIES:
• Provide greeting and assistance to office visitors; initial responder for incoming phone calls.
• Assist inside sales with taking order information; with checking the status of back orders; with expediting orders as required.
• Enter customer orders to initiate bill of materials for all inventory demands and generate back order purchasing requirements.
• Research and resolve inaccurate invoicing; maintain all invoice files; send and receive invoices.
• Process receivables and payables; assist w/ collections if necessary.
• Verify sales journal; verify vendor batch files; ensure timely automated payments.
• Ensure proper documentation is in place for vendors and customers.
• Verify all customer accounts receivable and accounts payable for accuracy.
• Verify purchase orders from vendors and/or customers against actual shipments.
• Process credit card payments, vendor debits, customer returns for credit.
• Maintain or initiate correspondence with customers and/or vendors via phone, fax, e-mail, letters, online.
• Process incoming and outgoing office mail.
• Follow company policy and procedure with respect to systems, practices and information sharing.
• Maintain confidential documents & databases regarding customer contacts, costs, pricing, & contracts.
• Manage and/or complete special projects as assigned.
• Make recommendations and suggestions that promote continuous improvement.

LOCATION & SCHEDULE:
• Daily work site may include the DE locations in either Grand Rapids or Grand Haven.
• Full-time; specific hours may be flexible and negotiable.

REQUIREMENTS/QUALIFICATIONS:
• High School diploma or equivalent; college degree preferred.
• Working knowledge of MS Office software products.
• Knowledge of MS Dynamics, Solomon, Quickbooks, or other accounting software preferred.
• Experience and/or education in business writing, and office practices and procedures preferred.
• Personable, friendly, and outgoing communicator.
• Comfortable working in a team oriented environment.
• Ability to work independently with organizational skills, time management, and prioritization.

COMPENSATION:
