Job Description
Request invoices & BDN (Bunker Delivery Note) from supplier, agency cost from agents.
Verify and update external brokerage commission invoices in trading system
Send reminders to suppliers and traders to chase for documents/clarify stem details.
Convert stems to delivered, verify supplier invoices and raise customers invoices.
Send SOAs to customers, upload invoices into customer’s portal.
Send original BDNs/invoices per customers’ requests
Create and check Vendor and Customer registration forms.
Raise other invoices such as Proforma/CIA (Cash in Advance), Commission, Interest as well as credit notes
Monitor all emails from traders and be able to assist them with their queries.
Support on month-end closing activities.
Request payment confirmation from supplier and share the same with customer.
Follow- up with customers for outstanding payments & PO copy.
Assist in new Vendor Registration
Monitor receipts from customers, update in trading system and send internal email to inform receipts
Assist in extraction of documents for statutory audit and bank queries
Back-up for colleagues handling invoicing for other geographical regions: Asia, Australia, Europe, America.
Any other ad-hoc duties
