Accounts Receivable / Administrative Assistant
Job Summary
We are seeking a detail-oriented and organized Accounts Receivable / Administrative Assistant to join our team. This role requires strong analytical skills, attention to detail, and the ability to communicate effectively with clients and team members.
Accounts Receivable Duties
Process accounts receivable transactions, including invoicing and payment processing, including credit card transactions and reconcile credit card payments.
Analyze customer accounts and resolve discrepancies in a timely manner.
Provide exceptional customer service by addressing inquiries regarding billing and payment issues.
Ensuring timely collection of outstanding invoices.
Review customer account balances prior to releasing orders.
Generate weekly reports to track overdue accounts.
Maintaining accurate financial records.
Provide Statements as needed.
Process Credit Applications and Reference Checks.
Administrative Duties
Assist Sales Team providing prompt, courteous service.
Sales Order Entry & Invoicing.
Prepares Picking Sheets for Warehouse personnel.
Set up new accounts and facilitate customer onboarding process.
Handling email & telephone correspondence.
Other duties as assigned.
Skills
Proficiency in accounting software. Our ERP is Spire Systems.
Experience in Project Management Software, specifically Monday.com
Experience using Microsoft Office 365, specifically Teams, Outlook, Excel and Word.
Strong customer service skills with the ability to communicate effectively both verbally and in writing.
Excellent math skills.
Strong data entry skills.
Knowledge and practices related to accounts receivable; ie: Debits, Credits and General Ledger Journal Entries.

Pay: From $47,515.00 per year
