Admin & Marketing Assistant
Vision Personal Training Engadine
Part-Time | 15–20 hrs per week | Flexible Hours | Sutherland Shire or Surrounding area
Are you highly organised, proactive and people focused with an interest in fitness and marketing?
We’re looking for a reliable Admin & Marketing Assistant to support our growing studio. This is a hands-on role where you’ll help keep the business running smoothly behind the scenes while supporting our client experience, marketing and community presence.
This role suits someone who enjoys structure, checklists, communication, and follow-through, with creative tasks as a key support function.
What You’ll Be Doing
Client Experience & Communication
Enter and manage new leads in our CRM (VOS)
Send milestone messages, birthday texts, accountability check-ins and follow-ups
Request and respond to Google reviews via AskNicely
Make post-session feedback calls
Follow up on cancellations and suspensions
Re-engage past leads using automation tools (Go High Level)
Coordinate milestone gifts and monthly client success highlights
Marketing & Social Media Support
Create and schedule content:
2 Reels per week
Weekly posts (Client/Trainer of the Week, events, success stories)
Daily Instagram Stories and inbox engagement
Prepare and send weekly email newsletters (Campaign Monitor)
Manage social inboxes (Instagram & LinkedIn)
Coordinate flyers, signage, milestone posters and in-studio boards
Support in-studio events, seminars and community activities
Schedule SMS and email campaigns and manage the content calendar
Studio Operations & Administration
Manage bookings, invoices, payments and direct debits
Follow up on failed payments (Paysmart)
Process sessions accurately and on time
Prepare weekly payroll summaries and assist with reporting
Print and prepare weekly reports (Sales Register, Lead Activity, Management Reports)
Keep the studio organised, stocked and professional
Support marketing campaigns, projects and special initiatives
