Job Description
Office Management:
Manage office supplies, inventory, and order necessary materials.
Ensure office cleanliness, organization, and maintenance.
Coordinate with service providers for office-related needs (e.g., cleaning, utilities).
Scheduling & Coordination:
Schedule and organize meetings, appointments, and travel arrangements.
Prepare agendas, take minutes, and follow up on action items from meetings.
Documentation & Record Keeping:
Maintain accurate filing and record-keeping systems (both physical and digital).
Organize and update internal documentation, reports, and databases.
Communication & Liaison:
Serve as the point of contact between executives, staff, and external partners.
Assist in preparing and managing internal and external communications (emails, memos, etc.).
Support to Senior Management:
Provide general administrative support to senior executives and team members.
Handle confidential and sensitive information with discretion.
Compliance & Policy Management:
Ensure adherence to company policies and procedures.
Assist in the preparation of audits, reviews, or compliance checks as needed.
Event Coordination:
Assist with organizing company events, team building, or social gatherings.
Qualifications & Skills:
Education:
Bachelor’s degree in Business Administration, Management, or related field preferred.
Experience:
1-2 years of experience in administrative roles or office management.
Skills:
Proficient in MS Office (Word, Excel, PowerPoint) and other office software.
Excellent written and verbal communication skills.
Strong organizational and multitasking abilities.
Attention to detail and ability to prioritize tasks effectively.
Basic knowledge of office equipment (printers, fax machines, etc.).
Personal Attributes:
Professional demeanor with a proactive attitude.
Strong interpersonal skills and ability to work within a team.
Ability to handle pressure and deadlines.
