Desired Qualification:

Technical Graduate/ Postgraduate (Engineering background with a flair for facility management preferred)

Min 8 to 12 years' experience in managing office facilities & administration

Good written & oral communication skills with control over Spelling, grammar, and sentence structure

Ability to manage business correspondence: filing, sorting, and gen organization skills are essential

Ability to organize their own professional priorities on the fly

Good in MS Office (Excel, Word, PPT) to maintain and present data

Oriented to the Internal Customer & External Customer

Flexible enough to respond to working outside of the conventional whenever required

Job Responsibilities:

Manage administrative activities involving the purchase of expendables, maintenance of procurement, housekeeping, safety, security, etc.

Plan and coordinate administrative procedures and systems and devise ways to streamline processes

Recruit and train personnel and allocate responsibilities and office space

Assess staff performance and provide coaching and guidance to ensure maximum efficiency

Ensure the smooth and adequate flow of information within the company to facilitate other business operations

Manage schedules (AMC, Events, etc.) and deadlines

Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints

Monitor costs and expenses to assist in budget preparation

Oversee facilities services, maintenance activities, and tradespersons (e.g. Electricians)

Organize and supervise other office activities (recycling, renovations, event planning & management, etc.)

Ensure operations adhere to policies and regulations

Organize for smooth & efficient functioning of the entire Office complex, facilities, provisioning, and working well

Keep abreast with all organizational changes and business developments to proactively anticipate & plan Admin requirements

Manage training to all technical staff & Ensure Zero breakdown time for the business

Ensuring building compliance docs are readily available and interpreted for the smooth operation of the facility

Deploy Cost control measures and ensure timely implementation of the project

Arranging for relocation of employees from different parts of India which includes an arrangement for their home and family-related needs such as accommodation, school admission, transportation, and taking care of their household requirements

Liaison & coordination with various departments within the office for Admin Support

Ensure availability of daily miscellaneous requirements for upkeep of office administrative facilities and thus provide a harmonious work culture to employees

Taking initiatives to introduce new aspects of Admin set up & also cost saving ideas
