Looking for Admin Executive
Minimum Experience Required: 1 year as in Administration of the Company / Admin Executive
Work Location: Gurgaon, Sector 18
Day shift – Mon – Sat working
We are looking for a competent Administrative Assistant to provide personalized secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to executive’s working life and communication.
Job Description:
· Interference between Employees & Admin team.
· Responding to the Employee Email regarding Employee requirements, re-issuing ID cards. locker keys, visiting cards, chairs, stationary, attendance, parking, meetings, snacks etc.
· Attending meetings on Manager's behalf (when Manager not available) such as Team calls, ISO meetings, Landlord meetings / Facility manager etc.
· Emailing minor maintenance issue to Landlord team and keep a track on it.
· Maintaining ISO documents - AMCS (DG & Lift), NOCs, Monthly reports, UPS, Fire system, Pest control, CCTV etc.
· Support in closing monthly invoice & Adhoc purchase.
· Be available in Manager's Absence to take care of all the things related to the Admin department.
· Helping in preparing documents related to lease, legal, Police complaints, admin vendor agreements etc.
· Addition of Employees to the biometric software and managing transfer of employee access to different floor as per department.
· Taking care of Travel & courier desk.
· Support in coordination with small vendors like printing, courier, water. Major will be taken care by the manager.
· Ordering Food snacks for guest. Team outing arrangements.
· Supervision of infrastructure work. Space Management.
· Asset Management - Maintaining record of all Non-IT Assets & ensure its regular updates.
· Daily CCTV surveillance.
· Checking if all Admin policies are followed and updated as per current office setup.
· Act as the point of contact between the executives and internal/external clients.
· Undertake the tasks of receiving calls, take messages and routing correspondence.
· Handle requests and queries appropriately.
· Maintain diary, arrange meetings and appointments and provide reminders.
· Make travel arrangements.
· Take dictation and minutes and accurately enter data.
· Monitor office supplies and research advantageous deals or suppliers.
· Produce reports, presentations and briefs.
· Develop and carry out an efficient documentation and filing system
Requirements:
· Proven experience as an Administrative Assistant, Senior Administrative Assistant
· Full comprehension of office management systems and procedures
· Excellent knowledge of MS Office
· Proficiency in English
· Exemplary planning and time management skills
Job Types: Full-time, Regular / Permanent
Salary: ₹400,000.00 - ₹450,000.00 per year
