Primary objective

The Administration and Enquiries Officer is responsible for administrative support for the Crime Victims Services Unit (CVSU), related to

the delivery of services to victims, including reception duties, planning and booking travel, procurement and data entry.

Context statement

CVSU is responsible for assessing applications for financial assistance under the Victims of Crime Assistance Act (2006), managing debt

recovery processes associated with any payments of financial assistance and managing the Victims Register as outlined in the Victims of

Crime Rights and Services Act (2007). Staff of CVSU will have contact with victims and are required to comply with the principles and

practices outlined in the Charter of Victims' Rights in all interactions.

Key duties and responsibilities

1. Provide administrative support services to the Crime Victims Services Unit including; responding to queries from the public and

stakeholders, data entry, general office administration duties {purchasing of office supplies, equipment and travel bookings),

correspondence tracking and file management.

2. Provide high quality information management support services to ensure effective and accurate data entry into information systems;

such as HP Content Manager, information management, and excel spreadsheets.

3. Schedule, organise and attend meetings as required and co-ordinate all necessary administrative support for such meetings.

4. Provide accurate and effective support on routine administrative processes for finance, procurement and other business areas as

required.

5. Follow approved processes and procedures relating to the work being undertaken in order to ensure high quality and consistent

services to victims of crime.

6. Other duties as required to ensure the efficient operation of the work unit.

Selection criteria

Essential

1. Sound interpersonal, oral and written communication skills, with a demonstrated ability to communicate effectively with a wide range

of stakeholders and people from diverse cultures either in person, over the phone or via email.

2. Demonstrated ability to maintain a high degree of sensitivity, tact, discretion and exercise sound judgement in dealing with confidential

and sensitive matters and releasing personal information.

3. High level of motivation and ability to work independently, at times with minimal supervision, in a busy work environment.

4. An ability to identify matters of concern and escalate them in an appropriate and timely manner.

5. Demonstrated experience in office procedures, including, payment processes, credit card management, data sourcing and recording

and records management.

6. Demonstrated knowledge and proficiency in operating computer systems and word processing programs such as Excel, outlook, Power

Point and major business systems.

Desirable

1. Knowledge of, and sensitivity to, the challenges in providing assistance to victims of violent and / or ****** crime.

2. Certificate IV or Office Skills or equivalent work experience.
