The Opportunity
We are seeking an Administration Officer to join our team on a 16-month fixed-term contract (0.6 FTE - 3 days per week) to cover maternity leave.
This role is structured in two phases:
First 3 months: A focused period supporting a filing, scanning and records management project and handover for maternity leave
Following 13 months: Transition into a broader administration support role across the firm for maternity leave cover
This role offers consistency in days and hours, making it well suited to someone seeking part-time work within a professional environment.
Key Responsibilities
Phase 1: Records & Filing Focus (First 3 Months)
Scanning and electronic profiling of documents
Paper-based filing and archiving
Assisting with ‘Scan and Destroy’ procedures
Retrieval and organisation of archived files
Supporting filing and records-related projects to improve workflow efficiency
Ongoing handover training from administration
Phase 2: Administration Support (13 Months approx.) from August 2026
General Office Support
Office opening procedures (on rostered days)
Greeting visitors and managing couriers
Answering incoming calls
Boardroom setup and maintaining presentation of shared spaces
Maintaining shared areas, including coffee machine upkeep
Correspondence Management
Drafting and finalising client correspondence
Assisting with preparation of monthly fees for Partners
Managing incoming and outgoing mail, including electronic lodgements (ELMS)
Firm Administration
Managing meeting room bookings and client hospitality
Scheduling for Partners, training sessions, and internal events
Ordering office supplies, groceries, and catering
Booking staff travel as required
Providing ad hoc administrative support to Partners and Associate Partners
Assisting with daily office tasks (banking, post office runs, deliveries)
Records Management (Ongoing)
Maintaining accurate client database records
Setting up new clients and updating existing information
Supporting document management processes to ensure efficiency and accuracy
Shared Administration Team Support
Monitoring the shared admin inbox and completing allocated tasks
Providing backup support to Personal Assistants and Client Services Administrators
Assisting with client documentation, correspondence, and fee processing
Projects & Events
Supporting coordination of client events (e.g. business breakfasts & firmwide events)
Assisting with ad hoc administrative and operational projects
About You
Strong attention to detail and organisational skills
Comfortable managing process-driven tasks, particularly during the initial phase
Confident communicator with a professional approach
Ability to work independently across allocated days while contributing to a team
Previous administration experience in a professional services environment is advantageous
