Role Overview: We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting our attorneys and ensuring the smooth operation of our office. This position requires excellent communication skills, the ability to manage multiple tasks, and a commitment to providing outstanding client service.

Key Responsibilities:

Answer and direct phone calls in a professional and courteous manner.

Schedule consultations, document review meetings, and document signing meetings.

Maintain organized records of new client intakes and manage the follow-up process.

Assist in reaching out to clients to gather missing information needed to finalize documents prior to review meetings.

Manage and track the status of client documents to ensure timely completion and accuracy.

Prepare and organize client files for meetings and reviews.

Provide administrative support to attorneys and other staff members as needed.

Prepare and send correspondence and documents via mail and courier services

Ensure the office environment is welcoming and presentable.

Qualifications

Required:

High school diploma or equivalent (associate degree or higher preferred).

Strong reading, writing, and verbal communication skills.

Excellent organizational, multitasking, and time management skills.

Strong attention to detail and accuracy.

Computer competent (or eager to learn new technology).

Confident, professional, and polite on the telephone.

Ability to handle sensitive and confidential information with discretion.

Comfortable working with seniors, individuals facing illness, and those who are grieving.

Empathetic and compassionate demeanor.

Self-directed with the ability to work independently.

Preferred:

Bachelor’s degree.

General office or administrative experience.

Proven experience as an administrative assistant, legal assistant, or in a similar role.

Knowledge of or experience in estate planning.

Plus:

Law office experience.

Experience working with elderly clients.

Bilingual (English/Spanish or other language).

Job Type: Full-time

Pay: $34,000.00 - $40,000.00 per year

Work Location: In person
