Primary objective
Responsible for the provision of executive and administrative support, secretarial and event management for the Department of
Education and Training (DET) Palmerston Youth Skills Centre (PYSC) and administrative support to the staff within the PYSC.
Context statement
The Palmerston Youth Skills Centre through the DET Registered Training Organisation (RTO), provides hands-on vocational
education, training, and support for young people to develop practical skills, workplace readiness, and positive pathways into
further learning or employment through a supportive, trauma-informed environment and delivery of accredited training.
Key duties and responsibilities
1. Provide high level administrative support including undertaking reception responsibilities, building relationships with trainers and
managers to complete administration and compliance duties.
2. Ensure timely and accurate management of student data and ensure accurate maintenance of all manual and computerised
student records including data entry, data retrieval, and report preparation.
3. Provide secretarial services including word processing, e-mail and administrative support to managers and trainers in organising
meetings, events, various functions, and training activities.
4. Undertake a variety of administrative projects to support the activities of the PYSC including basic research activities to locate
information including using on-line resources or by enquiry to external sources.
5. Coordinate and prepare basic correspondence and reports to support the PYSC’s administrative reporting requirements, including
external and internal corporate reporting, assessment validation, and auditing requirements to meet RTO national standards.
Selection criteria
Essential
1. Demonstrated sound interpersonal, oral and written communication skills, with an ability to interact effectively with people in a
school environment, from diverse cultures and build working relationships.
2. Demonstrated experience in the management of student data including data entry, ensuring compliance requirements are met
and report preparation.
3. Demonstrated high level administrative and organisational skills, including tracking and managing work deadlines, adjusting
priorities to meet deadlines and working collaboratively with others.
4. Demonstrated experience in designing and managing administration processes and student timetabling.
5. Demonstrated high level computer literacy skills, including, experience with the effective use of various office applications and
databases and substantial word processing experience.
Desirable
1. Knowledge of the operations of the Department RTO or ability to gain in a timely manner.
2. Demonstrated experience working in a Trauma informed team.
