About the Role
We are looking for a highly capable, dynamic and proactive Administration Coordinator to join our enthusiastic Telethon team. This pivotal role provides essential administrative support across a variety of areas, ensuring smooth operations within our team.
The ideal candidate is a positive, motivated and highly organised individual who thrives in a fast-paced environment. You’ll be adept at managing multiple priorities, working collaboratively within the team as well as independently on projects big and small, and willing to jump in and assist with what needs to be done.
Key Responsibilities:
Telethon Events Volunteer Management: Oversee recruitment, screening and on boarding of volunteers for Telethon events including the Telethon Weekend and Mega Bingo
Corporate Partnerships Support: Provide administrative support to the corporate partnerships team, including tracking partnership deliverables, invoicing, maintaining Salesforce data integrity and responding to queries and emails
Financial Administration: Support procurement, banking and reconciliation processes
Telethon Merchandise: Oversee stock control, reconciliation, packing and delivery of all Telethon online merchandise orders
Event & Marketing Support: assist with raffle permit applications, coordinate production and collection of printed event and marketing collateral and provide on-the-ground support at Telethon and SWM events.
Mascot Schedule Management: Coordinate and manage mascot scheduling, including booking appearances, scheduling staff, recruiting and on boarding new staff and maintaining costume quality
General Administration: Manage Telethon’s email inbox, general phone line, incoming mail, event RSVPs, and public walk-ins
All about You:
Experience in a fast-paced, customer-facing administrative role
Exceptional organisational skills and attention to detail
Strong communication, interpersonal and customer service skills
High level of computer literacy and administrative skills
Self-motivated, proactive and solution-focused
Ability to multitask and manage competing priorities effectively
Strong experience in a similar role either within the not-for-profit or commercial sector
Experience with CRM and finance systems including Salesforce and MYOB highly regarded
