A rare ongoing opportunity exists for an experienced Administration Coordinator to join WorkSafe Victoria’s Construction & Earth Resources division.
Reporting to the Director of Construction & Earth Resources you will provide expert administrative and business support across the division. With a strong emphasis on stakeholder engagement and process efficiency, the role will involve managing the Director’s diary, correspondence, coordination of stakeholder events, and supporting departmental processes to improve administrative functions.
You will support the Director and the program areas to better equip themselves to deal with the emerging risk areas through agility, collaboration and cross functional team work.
Key responsibilities will include:
Provide high level business support to the team including meeting coordination, drafting, coordinating, and supporting the development and distribution of documents, communications & reports
Coordinating and supporting stakeholder events and forums with both internal and external stakeholders, including scheduling, administrative arrangements, assisting with preparation of papers, minute taking, and liaising with senior management as required.
Develop processes to support continuous improvement of our administrative support to the Construction & Earth Resources area.
Stakeholder management with employer and worker representatives and ability to co-ordinate stakeholder events and resolve stakeholder issues.

With proven experience in a similar role, you have successfully established and improved administrative processes to support efficient business operations. You are confident engaging with a diverse range of stakeholders, building positive working relationships and delivering a high level of client-focused service. Your ability to manage competing priorities, think critically, and maintain accuracy ensures you consistently deliver high-quality outcomes in a fast-paced environment.
You will also bring:
Strong experience providing high-level administrative support, including coordinating workflows and business processes
Proficiency in business reporting systems and Microsoft Office (Word, Excel, PowerPoint, Outlook)
Demonstrated experience preparing agendas, minutes, reports, and presentations with a high degree of accuracy
Excellent communication and interpersonal skills, with the ability to liaise effectively across diverse stakeholder groups
Well-developed time management, organisational skills, and the ability to work both autonomously and collaboratively as part of a team
