Responsible for keeping an office running smoothly and oversee administrative support.

Brief

We are looking for an experienced ‘Administration/Office Manager’ responsible to oversee daily office operations and administrative processes and ensure that all office activities are carried on efficiently so ALL dependent operations can run smoothly.

The ideal candidate should be experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision.

Responsibilities include, but are not limited to

Plan, coordinate and manage all administrative procedures and systems - oversee daily support activities.
Manage all aspects of space/infrastructure planning - Ensure proper maintenance of conference / meeting rooms, workstations, common areas like reception and ensure they are ready at all times.
Arrange and supervise necessary repairs when requested
Work closely with the operations manager to ensure the effective flow of resources throughout the business at all times, adhering to the specific needs of each department.
Organize and supervise other office events, meetings, conferences, training sessions, parties, celebrations. etc and provide ongoing assistance during events.
Execute weekly evening snack plan - finalize menu, select food vendors, coordinate logistics all within budgets in coordination with HR Department.
Monitor inventory of office supplies and the purchase of new material with attention to budgetary directives.
Ensure that all equipments and assets are properly maintained and functional when required.
Manage and supervise administrative staff.
ensure that all tasks are completed in a timely and efficient manner.

manage internal relations and resolve conflicts
Liaise with vendors and suppliers. Ensure that the organization has reliable and cost-effective vendors for goods and services.
Manage contract and price negotiations with misc. vendors, service providers etc
Coordinate with the accounting, operations and management teams regarding budgets, monitor spending, and other expenses.
Maintain necessary records
Ensure security, integrity, and confidentiality of data
Perform any other duties assigned by the management
Note - This role involves occasional local travel.

Candidate Profile

3-5 years of proven office management, administrative, or assistant experience – preferably in a large corporate sector firm.
Graduate from an institute of repute
Proficient in Microsoft Office.
Able to adapt quickly to changes, handle multiple tasks, and prioritize to meet deadlines.
Should have own network of vendors and also be able to identify new vendors to empanel for various goods and services.
Should be able to handle day-to-day routines as well as surprises.
Excellent written and verbal communication skills
Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability.
Hands-on experience with office machines and equipment
Ability to take initiative, act independently and direct one’s own work.
Must have own vehicle- open to drive in Delhi NCR region as needed to attend to administrative responsibilities.
Should be able to work calmly under pressure.
Preference will be given to immediate joiner

Selection process – Selection process requires the candidate/s to come to the HO in Delhi for the interview.

Salary: ₹240,000.00 - ₹360,000.00 per year
