Job Description
Key tasks:
Provide exceptional reception service in person, via phone and email ensuring quality customer service outcomes and the timely resolution of queries.
Provide quality and timely administrative support, including financial processing, assisting with department activities, deliverables, and outcomes, and assisting with managing venue correspondence.
Provide venue access to approved Hirers and contractors as directed. This includes assistance with venue sign in and sign out procedures and assisting with inductions.
Provide excellent customer service ensuring internal and external expectations and requirements are met.
Provide support to the Administration Coordinator in office management including monitoring and maintaining of the office/room bookings, staff kitchen and office/consumable supplies ensuring supplies are replenished, and meeting room preparation.
Provide support and assistance to the venue management team.
Ensure proficient management of time and tasks to ensure work is completed in a timely fashion including the ability to work to deadlines, establish priorities, manage multiple tasks, and ensure relevant deadlines are met.
Ensure all work is undertaken in accordance with SQ’s policies and procedures, particularly in the areas of workplace health and safety, security, equal employment opportunity, workplace harassment, bullying and discrimination
Utilisation of SQ systems (under direction).
About you:
Demonstrated experience in a similar position providing administrative support, with a focus on customer service.
Essential:
Well-developed communication and interpersonal skills.
Excellent telephone manner and attentiveness.
Ability to follow instruction and work under limited supervision.
Ability to acquire knowledge of the venue and its facilities.
Ability to use Word, Excel, Outlook and data entry as well as general computer skills.
High work ethic, commitment to professional presentation and flexibility in the workplace and ethical practice.
Desirable:
A formal qualification or training in office administration, secretarial and/or computer skills.
Ability to use a PABX phone system.
Knowledge in general financial data entry process.
Experience in suing systems such as HP Content Manager and TechnologyOne
