Administrative Academic Advisor

Sherwood Heights School is seeking a highly organized, professional, and proactive Administrative Academic Advisor to support daily school operations and contribute to a positive, well organized, and student-centred learning environment.

This position is ideal for someone who is detail-oriented, confident communicating with parents and staff, comfortable supporting students, and able to manage a wide range of administrative, academic, and operational responsibilities in a busy school setting.

Key Responsibilities

The Administrative Academic Advisor will support school administration in the following areas:

School Operations

Maintain and update student information systems, including student records, attendance, contact information, enrollment details, and academic documentation.
Coordinate teacher coverage, arrange supply teachers, and provide classroom coverage as required.
Support daily school routines, including attendance, transportation, drop-off and pick-up procedures, and general office operations.
Assist with admissions, including parent communication, tour scheduling, application follow-up, and enrollment documentation.
Ensure school records and procedures remain accurate, organized, and aligned with school policies.
Parent Communication and Financial Follow-Up

Serve as a professional point of contact for parents, students, staff, and prospective families.
Follow up with parents regarding tuition payments, registration fees, incidental charges, forms, and outstanding documentation.
Assist with financial administration, including issuing cheques, tracking payment information, and preparing related documentation.
Draft and distribute school announcements, reminders, and parent communications.
Academic and Student Support

Assist with report cards, exams, academic records, transcripts, and other school documentation.
Support teachers with schedules, classroom materials, field trips, and administrative needs.
Provide classroom support and supervision when needed.
Help identify and support students requiring additional academic, organizational, or personal support.
Contribute to a positive school culture that encourages student growth, responsibility, and success.
Events and Special Projects

Coordinate school events, including concerts, fairs, ceremonies, competitions, graduations, assemblies, school photography, and student recognition initiatives.
Support Ministry compliance, reporting, inspections, and school improvement projects.
Assist with summer preparations for the upcoming academic year.
Qualifications

Bachelor’s degree in education.
Experience in school administration, academic advising, teaching, office administration, or a similar role.
Comfort providing classroom coverage or supply teaching when required.
Strong organizational, communication, and problem-solving skills.
Excellent attention to detail and comfort working with student information systems, records, payments, and documentation.
Ability to multitask, prioritize, and respond calmly to last-minute changes.
Professional, discreet, and collaborative approach when working with students, parents, and staff.
