Job Description
BASIC FUNCTION: Provides secretarial services to assigned unit including typing, data entry, and (if required) switchboard/receptionist coverage. Interacts with and assists clients and other departments as needed.
MAJOR DUTIES:
Responsible for assisting administration in typing a range of documents/forms required by the department.
Perform admissions/terminations/transfers consisting of state regulations, including completing charts with ID numbers from Central Registry.
Maintains and prepares reports for regulatory agencies and program.
Prepares client charts, maintains charts in alphabetical and chronological order, files documents promptly for easy retrieval and access to other staff in the department.
Orders supplies and re-stocks supply cabinets.
Updates client rosters weekly.
Processes admissions and terminations
Collect client fee and write receipts.
Submit Medicaid information to determine eligibility.
Make client ID cards.
Receive and distribute incoming mail and direct outgoing mail.
All receptionist duties, as well as clerical responsibilities which includes operating multiple phone lines.
Also required to interface with outside monitoring agencies, which includes state, federal and city agencies
Update Admission/Termination/Transfer book to make sure records are recorded
When supervisor is out help with Census Report, keep track of all admissions, terminations and transfers in both units, batch summary and admission and unbillable forms..
Performs other duties as requested or assigned.
SCHEDULE: Monday-Friday 6:30AM - 2:30PM; subject to change based on program needs.
LOCATION: NY, NY 10002
RATE: $34,580.00 - $35,963.00 / yearly

Requirements:
QUALIFICATION - EDUCATIONAL AND PROFESSIONAL EXPERIENCE:
High School Diploma with formal training in basic office skills or Associate Degree in Secretarial Science. Computer competency with the ability to type 50 words per minute. Excellent organizational, communicational, and interpersonal skills.
