AtkinsRéalis is looking for an Administrative Assistant(Project Administrator) to join our project team in St. John's, Newfoundland and Labrador, for a large‑scale project.
This position requires on-site (project office) presence 5 days a week.
Your role
Format, edit, proofread, and distribute outgoing correspondence, reports, proposals, and other documents in accordance with company templates and standards.
Prepare and distribute meeting agendas, notes, PowerPoint presentations, and required materials; record, draft, and circulate meeting minutes.
Classify, register, and maintain project documentation according to established document control procedures and specifications.
Organize, update, and maintain various administrative and project-related documents (corporate CVs, project fact sheets, statistical data, research information, etc.).
Manage incoming and outgoing mail—both electronic and physical—including logging, filing, and circulating information to ensure timely delivery to relevant teams.
Coordinate logistics for meetings, conference calls, and events, including scheduling, invitations, confirmations, and catering arrangements.
Maintain office supply inventories, manage filing systems, respond to inquiries, and contribute to improving administrative processes and office efficiency.
About you
At least 2 years proven experience as an Administrative Assistant in a project environment;
Experience of providing a high quality and efficient administration service;
Team player with ability to work autonomously and communicate at all levels with a positive, pro-active approach;
Excellent working knowledge of Microsoft Office suite of products (in particular Word, but also Teams, Outlook, Excel and PowerPoint);
Great interpersonal skills (tact, integrity, confidentiality, patience, and ability to get on well with all levels of staff).
