Job Summary

The Administrative Assistant performs administrative assignments of a confidential nature for senior level managers. This position requires continuous use of technical and business vocabulary and a detailed knowledge of organizational operations, procedures and staff. This position must interact with all levels of the organization in a professional and effective manner.

Essential Functions
• Within guidelines, makes independent decisions regarding planning, organizing and scheduling work.
• Utilizes strong computer skills to prepare complex correspondence, reports, presentations, charts, tables and forms.
• Uses discretion and judgment when screening visitors and telephone calls, scheduling appointments and organizing work load to meet established priorities.
• Organizes work load to comply with deadlines and priorities, works independently to complete routine correspondence, reports and forms for review.
• Provides coordination of scheduling/meetings for senior management.
• Makes travel and stay arrangements as needed both domestically and internationally.
• Timely maintain vendor agreements.
• Maintain monthly attendance report for employees, workers and apprentice.
• Plan committee meetings and maintain canteen and housekeeping operations.
• Administrative support for training and related activities/events.
• Uphold applicable statutory compliance in accordance with legislation.
• Purchases items using Coupa/Ariba as needed, also process vendor bills timely.
• Ability to coordinate activities with other functions as needed.
• Special projects as needed.

Qualifications

Education and Experience:
• Bachelors or Master’s degree in human resources, labor relations, or organizational development, or in a related discipline.
• Proven HR admin or assistant experience of 3-5 years
• Knowledge of office management systems and procedures
• Excellent time management skills and ability to multi-task and prioritize work
• Attention to detail and problem solving skills
• Excellent written and verbal communication skills
• Strong organizational and planning skills
• Proficient in MS Office
