Job Description
Accountabilities:
The accountabilities of this role include, but are not limited to:
• Provide administrative support to operated and non-operated asset teams, primarily supporting the LNG asset
• Prepare, edit, track and file reports, submissions, correspondence and presentations
• Create and maintain paper and electronic files and documents, and support the team and corporate records management and data entry to ensure all permits, licenses and reports are properly filed
• Assist with corporate processes to support policy compliance, contract approvals, department budgeting, AFE preparation and cost tracking activities
• Prepare and distribute pre-read minutes of meetings for executive leadership and working teams
• Collaborate with the corporate administrative team to ensure efficient resolution of administrative issues
• Coordinate meetings, make travel and lodging arrangements, etc.
• Support organization and hosting of corporate events
• Assist in tracking corporate credit card/expense claims
• Work with team leads/managers to organize and manage network folders
• Assist with PCC management team site visits, and organize schedules, bookings, meals, and site visits
• Assist in hosting HQ delegation visits when required
• Assist team with technical translation when required
• Provide back-up coverage to corporate reception/administration and other areas as identified by the Lead, Corporate Administration, as necessary
Qualifications:
• Degree/Diploma in Office Administration or similar post-secondary education preferred
• 5+ years of administrative support experience, at the executive level an asset
• Mandarin language skills (written & verbal) preferred
• Experience in oil and gas an asset
• Advanced proficiency in Microsoft Excel, Word, and PowerPoint
• Ability to manage confidential materials in a professional and appropriate manner
• Superior written and verbal communication skills
• Excellent time management and scheduling skills
• Ability to develop strong relationships and interact in a variety of situations
• Demonstrate a sense of urgency and strong commitment to achieving goals
• Flexible and capable of managing multiple priorities simultaneously to meet the time demands of unpredictable activities in a fast paced and dynamic business environment
• Ability to work collaboratively in a multi-disciplinary team with a positive attitude
