Job Description
We are looking for a detail-oriented, proactive and trustworthy individual to join our team as an Administrative Assistant. This hybrid role combines accounting and administrative support with exposure to international purchasing and supply chain operations but not a limitation..
KEY RESPONSIBILITIES - Administrative & Accounting Support
Manage accounts payable and receivable records.
Assist in invoice processing, reconciliations, and general ledger entries.
Prepare payment schedules and track due dates.
Coordinate with external accountants for month-end closings and reports.
Maintain digital and physical filing systems for contracts and financial records.
Manage, clean and organize the front desk
Stock the copy rooms, snack room and lounge
Strong attention to detail and organizational skills
Basic accounting and data entry experience preferred
Ability to multitask in a fast-paced office environment
Professional communication skills
Support the office manager and administrative assistants
International Purchasing & Procurement
Place purchase orders and request quotes from international and local suppliers.
Support cost comparison reports and control spending based on budgets.
Track shipments, coordinate with freight forwarders and customs agents.
Analyze inventory levels and assist in reordering based on historical consumption.
Ensure accurate documentation for imports (commercial invoices, BLs, packing lists).
REQUIREMENTS
Fully bilingual – Spanish & English (spoken and written).
Minimum 2 years of experience in administrative role.
Basic accounting knowledge (QuickBooks or similar tools).
Intermediate Excel skills (data entry, formulas, cost comparison).
Strong communication and negotiation skills.
Excellent attention to detail, organization and confidentiality.
NICE TO HAVE
Experience with SAP B1, NetSuite, or similar ERP systems.
Previous experience in the food, retail, or import/export industries.
Knowledge of logistics and customs clearance processes.
Ability to grow into a purchasing coordinator .
