The Executive Assistant is fundamentally responsible for handling all duties required for the efficient management of our main office
This position is full-time and offers a strong opportunity for growth, dependent upon the initiative of the selected candidate
Based in Bozeman, this role may require very infrequent travel to property locations outside Bozeman
General reception duties, including answering telephones and returning calls as appropriate
Maintain office filing and storage systems (mostly electronic)
Keep filing/document management system for electronic and paper documents organized and compliant with company and governmental agency file management requirements
Monitor and order office supplies
Process all incoming mail
Handle Accounts Payable
Coordinate payroll with outsourced accounting partner
Assist on-site property management staff in properly completing all aspects of bookkeeping related to property management
Generate and validate reports, liaising with outsourced accounting partner as necessary
Update company dashboards, portals, and related information systems
Collaborate closely with and support remote property management teams and asset management functions
Help keep the team on track for delivery against a wide variety of deadlines
Coordinate meetings, conference calls, and other interactions between team members located in various geographical locations
Continuously spearhead the development and refinement of policy and procedure within the company to reflect industry best practices
Arrange office configuration and setup for new employees and those who are traveling
Assist with property management functions, such as performing lease audits, preparing and mailing resident notification letters, coordinating delinquencies with collection agencies, and maintaining information in the property management system
Ensure compliance with all Southwest Montana Properties policy and procedure, applicable government regulations, and lender regulations across property types
Perform other tasks as assigned
