Under the direction of the Director of Care, and working within the mission, vision and values of Wing Kei, the Administrative Assistant (Care) is a member of the Administrative team assisting in developing, maintaining, planning, directing and administering assigned projects in accordance with Wing Kei’s policies and standards.

THE ROLE
Key Accountabilities
Demonstrates, promotes and advocates the Wing Kei vision, mission and core values
Provides administrative support to the Care department and maintains administrative workflow.
Creates and organizes various documents and electronic information.
Manages, organizes and updates relevant data and policies.
Arranges and participates in meetings, conferences and project team activities, and takes minutes, if needed.
Supports the Clinical Quality Improvement (CQI) team with documentation, providing data, and consolidating information from reports and action plans.
Ensures that the Care units are stocked with necessary supplies. Procures new supplies if required.
Maintains confidentiality in all aspects of residents, staff and Wing Kei information.
Researches and investigates information to enable strategic decision-making by others.
Creates and organizes various documents and electronic information.
Works closely with the multi-disciplinary team and provides support if needed.
Communicates and provides information internally and externally to assist and enable organizational operations and effective service to connecting groups.
Interprets instructions and issues arising, and then implements actions according to administrative policies and procedures.
Maintains good communication and interpersonal relationships with the public, residents, volunteers and other health care team members.
Keeps up-to-date with developments and best practices in the field.
THE INDIVIDUAL WHO WILL SUCCEED
Has completed a Business Administration certificate or equivalent.
Minimum 3 years of administrative experience.
Good typing and accurate data entry skills. Computer literacy is required.
Knowledge of government legislations and relevant procedures regarding health care is an asset.
Is dependable, self-motivated to work with minimal supervision.
Good time management skills; self-starter, adaptable, and flexible.
Thrives in a growing organization, maintaining a positive attitude through temporary challenges.
Excellent organizational skills with strong attention to detail.
Is aligned with a culture where people and integrity matters.
