Administrative Assistant
Nenan Dane zaa Deh Zona Family Services Society (Nenan) is seeking a highly motivated and dynamic individual to join our team as a Indigenous Supported Child Development Consultant!
Reporting to the Executive Director of Nenan Dane zaa Deh Zona Family Services Society (Nenan), the Administrative Assistant is responsible for the day-to-day office administrative responsibilities and participates in all Nenan led functions, programs, and services. This role is crucial for the ongoing administrative tasks needed for the continuation of our departments, programs, and clients.
Education and Experience:
Certificate in Office/Business Administration, related education and experience may be considered.
Minimum 2 years experience in an administrative capacity
Advance knowledge Microsoft Office Suite
Experience working with indigenous communities and/or non-profit organizations
Required:
A valid Class 5 BC drivers’ licence and acceptable drivers abstract required
A clear criminal record check with vulnerable sector search, with results acceptable to childcare regulations
Role and Responsibilities:
Manages all frontline office administrative tasks and duties for Nenan Dane zaa Deh Zona Family Services
General Office Duties Include but are not limited to:
Answering and responding to reception phone calls
Manages Nenans Administration email inbox
Professionally greets all families/clients/walk-ins
Receive office packages
Monitoring Inventory and ordering office supplies
Filing, Photocopying, and organizing documents
Keeps all employee directories up to date
Orders business cards
Keeps track of staff schedules
Takes meeting minutes for Nenan Team meetings, and other committee meetings as requested by the Executive Director
Completes Monthly Newsletters, documents, flyers, and signs for programs and events with clearly organized thoughts using proper sentence construction, punctuation, and grammar.
Keeps track of building and vehicle maintenance by ensuring the coordination of repairs and maintenance appointments
Supports Finance in clerical data entry responsibilities at the discretion of the Executive Director.
Effectively communicates an implements Neenan’s visions, policies and procedures to parents, staff, and community
Must maintain a high level of confidentiality on all matters relating to the affairs of Nenan Deh zaa Deh Zona Family Services Society
Performs all other duties and responsibilities in accordance with Nenan policies, standards, and procedures, and as directed by the Executive Director
Knowledge, Skills and Abilities:
Knowledge of the diverse cultures, histories and traditions of Treaty 8 First Nations, Indigenous and Metis peoples of northeastern BC
Awareness of the impacts of colonization and generational trauma affecting Indigenous communities
Competency in Microsoft office Suite (Work, Excel, Power Point, Outlook) and other
Knowledge of professional etiquette, email etiquette, and proper phone handling
Understanding of record administration, filing, and data entry procedures
Knowledge of Inventory management
Excellent interpersonal skills, including active listening and conflict management
Ability to prioritise tasks, manage time, effectively, and organize information and files.
Ability to plan and coordinator meetings, including scheduling, preparing agendas, and taking minutes
Able to handle sensitive information with discretion and maintain confidentiality
Able to take initiative on tasks and work independently
Able to adapt to changing priorities and deadlines
Able to identify and resolve issues efficiently and effectively
