Responsibilities
Perform a variety of administrative tasks aimed to optimize the time and performance of the VP, managers and associates of the department
Tasks may involve acting as a first point of contact for visitors to the floor and phone calls to the management team
Manage calendars for the VP and coordinate meetings and appointments for the management team
Prepare documents and reports
Control access to the floor and prepare workstations for new associates
Coordination of deliveries for the facilities (kitchen and office supplies)
Receive vendors arriving for meetings, deliveries, and mail
Coordination of activities and deliveries for committees (i.e., BOAT)
Coordination of lunches for the Technical Service Center (TAC) associates located at the facility
Maintaining organizational chart bi-monthly
Intermediate level concepts, principles and practices of providing administrative support
Performing a range of staff and/or operational support activities for a manager or group of managers
Answering telephones and assisting visitors
Prepare, transcribing, composing, typing, editing correspondence, agendas and minutes and other documents
Scheduling and coordinating meetings, events, interviews and appointments
Preparing reports
Gathering and analyzing basic information
Establishing and maintaining files, databases, and other records
Performing routine analyses and calculations involved in preparing reports
Sorting, screening and distributing mail
Operating standard office equipment and using required software applications
Organize, manage and track multiple detailed tasks and assignments with frequently changing priorities in a fast-paced work environment
Communicate effectively, both orally and in writing
Work collaboratively within a team environment
Provide a high level of customer service
Establish and maintain effective working relationships
