Administrative Assistant

Raymond James Independent Financial Services, Oliphant Wealth Management is seeking an Administrative Assistant to work out of our downtown Calgary location. How does the role impact the organization?

Drawing on previous experience in an administrative role, you will be responsible for providing administrative support to a family oriented Financial Advisor team.

The position is fast-paced, dynamic, and straddles the client service and administration spheres. The candidate must have a penchant for administrative tasks, meticulous attention to detail, possess a positive attitude, and have exceptional interpersonal skills. The successful candidate must also be responsible, self-motivated, a team player, and have an honest, dependable, and friendly nature.

What is the position responsible for?
• Responding to requests, and solving problems proactively;
• Respond to and follow-up on inquiries from teammates in a timely and efficient manner;
• Open and sort mail and email;
• Book and confirm appointments;
• Help prepare documents for client meetings;
• Manage all necessary documentation for clients and keep up to date with compliance regulations;
• Prepare, distribute and process client documentation;
• Be involved in preparing and reviewing daily reports, client correspondence and taking ownership of project work;
• Communicate internally with various operational and administrative departments;
• Provide seamless service onboarding new clients;
• Open accounts and manage documentation requirements;
• Administer and prepare investment performance and tax reporting;
• Process client requests and follow-up on cheque deposits, account transfers, and RRSP contributions by liaising with Credit, Compliance, RRSP, Mutual Fund or Securities Departments to solve any administrative problems;
• Act as backup support to Financial Advisor Assistants in the verification of daily activity in accounts and review of previous day’s transactions (trades, debits, transfers, errors);
• Operate, update, and maintain the Customer Relationship Management (CRM) software;
• Generate mailing lists and administer mass mailing efforts;
• Handle quarterly mailings to clients & prospects;
• Manage & maintain prospect database and marketing materials;
• Assist in implementing marketing ideas such as newsletters, client cards, seminars and other client events;
• Edit and distribute client communications and marketing materials; and
• Maintain and improve the team website and all social media profiles.

What do we expect from you?
• Skilled in Social Media (eg. Facebook, Twitter, LinkedIn, blog posts, etc.)
• CRM (Customer Relationship Management) software and maintaining/improving CRM databases is an asset;
• Experiences using online marketing tools including Google analytics, website assets, and SEO is an asset;
• Microsoft Office with a willingness and ability to learn new applications;
• The ability to work within deadlines in a high-volume and demanding environment while maintaining a high level of service and an imperative attention to detail;
• Demonstrate advanced face-to-face, email, videoconferencing, and telephone etiquette and relationship management skills;
• Act as a proactive self-starter with a 'can do' attitude and genuine commitment to client service;
• Exercise tact and discretion in the handling of confidential information; and

Educational/Previous Experience Requirements
• A post-secondary education;
• A minimum 2 years of administrative experience
