ADMINISTRATIVE ASSISTANT – LAB SERVICES
We are looking for a curious, detail-oriented professional to join our Integrated Lab Services team as an Administrative Assistant. This is an in-office position based in Bible Hill, Nova Scotia, where you'll provide ongoing support to our Lab Services team.
As the Administrative Assistant, you will report directly to the Manager of the Perennia Innovation Centre. This role requires judgement, initiative, quality and independence. This position will appeal to an energetic and highly organized administrative professional who enjoys working in a results-driven environment
The ideal location for the candidate is within reasonable driving distance to our Bible Hill facility as this is an onsite position. Clients and projects span the province and region, requiring occasional travel as needed.
The successful candidate will be part of a team that values accuracy, collaboration, and continuous improvement. This position requires a self-starter with a strong work ethic, positive attitude, attention to detail, and a high personal standard of excellence.
Principal Responsibilities:
Handle incoming communications which include answering the telephone, transferring calls as required, taking messages, monitoring all faxes, and checking/responding to emails.
Process mail and courier packages
Receive, log, and label incoming samples following established procedures
Participate in cross-training activities for other administrative support activities
Organize internal and external meetings using our online booking system
Coordinate and plan for on-site and off-site meetings and events including logistics (e.g., communication, location, meals, equipment, materials, RSVPs, and travel)
Is a key user of our client management database system
Format and edit correspondence, presentations, proposals, reports and spreadsheets on behalf of specialists and project teams when necessary
Prepare, review, and modify general templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials
Manage all office-related supply inventories, kitchen supplies, etc.
Process in-person payments for various services and liaise with our finance department
Requirements and Competencies
High school diploma or equivalent ·
Minimum of 2 years experience in an administrative position
Highly organized with exceptional attention to detail to support our team members
Excellent time management and ability to balance multiple competing priorities
Strong communication skills, able to coordinate across teams, and engage with clients
Proficient with Microsoft Office (Excel, Word, Outlook) and database systems ·
A collaborative approach to work with an open attitude that contributes to a positive and supportive work environment ·
Open to new experiences and developing new skills
Positive attitude to effectively represent Perennia and its values
Has a ‘can-do’ attitude when working with colleagues and clients
