About the Role

We support FTI Consulting's daily activities at the most essential levels. The aim is to provide administrative support to the Melbourne office and act as an administrative resource to the Executive Assistants.

What You'll Do

The Administrative Assistant role is an integral part of the office. We need someone with a can-do attitude, that is willing to go above and beyond when required. Below are a few of the standard tasks:

Assist Office Lead with support to the Corporate Finance team, including assistance with client events, team administration and support to Senior Managing Directors.
Manage internal and committee events
Support to Managing Directors with their expenses, timesheets and travel as needed
Answer phone calls when available and act as back up support for reception
Cover reception lunch breaks and leave
Process accounts payable invoices
Reconciliation of corporate credit card
Management of the archiving process via Iron Mountain
Act as the warden for emergency evacuation procedures
Assist EA's with overflow admin work as needed
Continually work on process improvement for general office procedures to achieve efficiency
Provide administration support to all office staff as needed
Office Maintenance Responsibilities

Assist with building management work requests
Maintaining supplier register
Manage and maintain the building security pass register (for building management)
Program and maintain premises security pass register (for premises access)
Maintain stationery stock and refresh as needed
Work with IT on all equipment and troubleshooting queries
Manage equipment for hot desks, including the Condeco booking system
Conduct general kitchen maintenance (empty dishwasher, restock fridge and restock and clean coffee machine)
Qualifications & Experience

Ideally, a minimum 2-3 years' experience in an administrative or office coordinator role
Completed Year 12/ HSC or equivalent
Highly computer literate, including strong knowledge of MS Office suite (Outlook, Word, Excel, PowerPoint)
Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
Strong problem-solving skills and the ability to work on initiative
A "can do" and enthusiastic attitude
Attention to detail
Professional manner and excellent telephone skills
This role will require travel to FTI office
