Job Description
Reporting directly to the Property/Resident Manager, the Administrative Assistant is responsible for performing a broad range of administrative and clerical duties in order to ensure the efficient and timely completion of assignments related to project management and the maintenance of office systems and records.
Duties and Responsibilities
- Maintains the Tenant Payment Record in Quickbooks and excel
- Issues receipts for rental payments and other tenant payments.
- Prepares Rent Collection Reports and rent deposits.
- Records and maintain, hydro, gas and water reports and bills tenants.
- Records and maintains various sales reports on a monthly basis.
- Completes availability lists and vacancy reports.
- Maintains supplier files.
- Prepares Schedule of Lease information on a monthly basis.
- Performs word processing of general correspondence and reports.
- Prepares tenant correspondence and notices regarding such matters as lease renewals, notices to vacate and the collection of rent in arrears.
- Maintains all tenant records and lease files.
- Maintains adequate levels of office supplies and materials.
- Prepares Purchase Orders (PO's) for authorization by the Property/Resident Manager.
- Promotes positive tenant relations by providing information to tenants on a timely basis and
demonstrating tact and courtesy in all tenant interactions.
-Maintains payment records of the Clearspring Merchant Association.
-Plan and organize Spring, Fall and Christmas markets at the mall and other markets as added.
-Prepares payroll time sheets and submits reports on a bi-weekly basis.
- Performs various other duties and tasks which may be defined and assigned by the Property Manager
Manager, including relief responsibilities for the Property/Resident Manager in his/her absence
Pay: $18.00-$20.00 per hour
