The United Church of Canada is seeking an Administrative Assistant for the Pension & Finance Unit. This is a permanent full-time position at 35 hours per week.

The Pension and Finance Unit ensures efficient and effective financial accounting, reporting, and management functions for the General Council Office and the Pension Plan of The United Church of Canada, including the broad general areas of revenues, expenditures, budget and reporting, internal/external audits and risk management. In addition to these regular financial management tasks, Pension and Finance provide advisory services to congregations around financial and compliance matters; oversees the nationally sponsored property and liability insurance coverages; and administers various capital assistance programs. The United Church Benefits Centre operates within the Pension and Finance Unit which ensures that policies are upheld and that federal/provincial employment standards are met. They are responsible for the governance and administration of the Pension and Benefits Plans of The United Church of Canada

The Administrative Assistant provides administrative expertise to the Executive Staff of the Finance Unit consisting of the Executive Minister, the Budget Manager, the Accounting Manager and the many committees and task groups associated with the Unit. They maintain the flow of information between the Executive Minister and associated Committee members and other sub-committees/task or working groups, by acquiring a knowledge base of the work done on behalf of the wider church and how it impacts the work of the unit.

Primary Areas of Responsibility
Administrative Support to the Executive Minister:

Provide confidential high-level administrative support to the Executive Minister managing all administrative needs including managing calendars, preparing agendas and documents for meetings, preparing presentations, scheduling meetings, conference calls, and arranging all meeting logistics;
Research, gather and organize documentation for the Executive Minister and undertake specific projects, as assigned and carry out general administrative duties including the flow of communication.
Committee and Meeting Support

Provide high-level administrative support to Managers, unit staff and various groups working with the unit, such as the Audit Committee, Finance Advisory Committee, and Investment Committee including organizing meetings and travel arrangements;
Take, transcribe, and distribute detailed meeting minutes and any related documents and provide follow-up on outstanding items as required.
Office and Administrative Management

Assist the Executive Minister in a variety of legal compliance tasks, such as contract management, corporate filings, and other general administrative duties as assigned and track the execution and storage of legal contracts, such as banking agreements, investment agreements, vendor contracts, etc;
Assist the Executive Minister with annual external audits in the areas of scheduling, document processing, and banking and investment confirmation facilitations.
Support to Senior Leadership and Staff:

Provide comprehensive administrative support to the senior Finance leadership team and assist with the onboarding process for new hires under the supervision of Senior Finance leaders.

Qualifications
Post-secondary education (3-year undergraduate degree) in administration, project management, business, social sciences, or a related field; or an equivalent combination of education and experience;
Project management training or certification (e.g., CAPM, PMP, or equivalent) is an asset.
3-5 years of executive level administration and coordination work experience; and experience in providing executive level support;
Advanced computer skills in the use of various software applications and collaboration tools - Office 365, Dynamics, SharePoint, OneDrive, Access, Adobe, Teams, Zoom, Microsoft Teams and other digital communications, social media platforms and project management software with a willingness to use new technologies;
Solid office management and coordination skills together with high-level administrative expertise; Knowledge of office management responsibilities, systems, and procedures; Knowledge of practices and procedures for accounting, data, administrative management and coordination;
Solid administrative, organizational, planning, problem solving, follow through skills, together with the flexibility to switch easily from one task to another or to effectively orchestrate multiple activities at once, using resources effectively and efficiently, as situations or priorities change;
Aptitude for numbers and experience working with invoices, budgets and tracking finances;
Excellent communication skills interpersonal, verbal and written, skills with the ability to prepare clear, concise reports, minutes, and presentations with a keen eye for detail, including proofreading and editing abilities and strong minute-taking and transcribing skills;
A proactive mindset with the ability to identify and investigate administrative issues and provide effective, timely insights and/or solutions; Initiative, good judgment, resourcefulness, and creativity in problem solving;
High level of professional discretion in handling confidential or sensitive matters with diplomacy and tact;
Ability to work independently and collaboratively in a flexible and collegial way, achieving high work standards with good judgement on when additional consultation is necessary; and
Knowledge of The United Church of Canada structures, work, programs, courts, and the ability to work in French, and/or in other languages other than English would be considered assets.

Working Conditions
The United Church of Canada has adopted a hybrid workplace model, providing flexibility for this position, working both off-site and in the General Council Office located in Toronto, ON. The incumbent will be provided, for work purposes, use of secure devices and must be available by email, phone, teams or zoom during regular office hours Monday to Friday. Sitting and viewing a computer screen for long periods, keyboarding/using assistive devices or technologies, intermittent physical activity including sitting, standing and being on a call for long periods of time will be required. Occasional additional hours may be required.

Compensation
The salary hiring range for this position is $52,016.95 to $60,855.33. This is based on category 4 on our salary range. Placement on the salary range will be based on factors such as market condition, internal equity, candidate experience skills and qualifications relevant to the role. Pension and group benefit plans coverage and annual vacation round out this compensation package.
