RESEARCH INSTITUTE OF THE MUHC
The Research Institute of the McGill University Health Centre (RI-MUHC) is a world-renowned biomedical and hospital research centre. Located in Montreal, Quebec, the Institute is the research arm of the McGill University Health Centre (MUHC) affiliated with the Faculty of Medicine at McGill University. The RI-MUHC is supported in part by the Fonds de recherche du Québec - Santé (FRQS).
Position Summary
The Smart Hospital Project, is seeking a highly organized and proactive administrative assistant to join our team on a maternity leave replacement contract. In this role, you will be responsible for coordinating meetings and travel, managing documentation, assisting with event planning, and supporting day-to-day project operations. This position is ideal for someone who enjoys working in a dynamic research environment and is passionate about contributing to healthcare innovation.
Our project combines wireless technology, smart dashboards, and machine learning to improve neonatal care—putting families and patients at the center of our priorities.
General Duties
• Manages the agenda and appointments,
• Receives and screens telephone calls, takes messages, responds to inquiries,
• Prioritizes incoming correspondence,
• Receives and responds to emails,
• Composes, types, translates and edits documents,
• Organizes and coordinates meetings, takes, transcribes and distributes minutes with relevant documentation,
• Books conference rooms and audiovisual equipment and assists with preparation of presentations,
• Prepares web content such as forms, communications, reports and other documents to be posted on the organization’s Web portal,
• Performs other office duties as assigned.

Education / Experience
Education: Diploma of College Studies (DEC)
Field Of Study
DEC in Office Systems Technology or related field
Work Experience: One (1) to two (2) years
Required Skills
• Excellent communication and interpersonal skills,
• Ability to work independently or with teams with minimum supervision,
• Exhibits strong interpersonal and organizational skills,
• Ability to take initiative, work under pressure, manage multiple projects and priorities,
• High level of analytical skills and attention to detail,
• Ability to draft communications and correspondence in French and English,
• Excellent verbal and written communication skills in French and English,
• Excellent knowledge of computer applications such as Outlook, Word, Excel, Access and Power Point.
Additional information
Status: Temporary, full time (35-hour workweek)
Pay Scale: Commensurate with education and experience. $41,550.60 - $62,353.20/year.
Work Shift: Monday to Friday 9:00am to 5:00pm
