Overview

We are seeking a detail-oriented and highly organized Administrative Assistant to support our Finance and Financial Aid teams with a variety of administrative and reporting tasks. This role is essential in ensuring accurate data management, streamlined processes, and compliance with internal and external requirements.

Key Responsibilities

Daily Reporting Support:

Assist in the preparation and maintenance of various reports, including but not limited to: Virtual Merchant transaction reports, E-transfer tracking, payment logs, student enrollment reports, other ad hoc reports as required

Overdue Balance Assistance:

Support the finance team in tracking and following up on student accounts with overdue balances.

Data Entry for Financial Aid:

Provide data entry and administrative support to the Financial Aid team to ensure accuracy and timely processing.

Payroll Adjustments & Reconciliation Support:

Assist with payroll-related tasks, including inputting adjustments and updates as requested by the accounting team during reconciliation. This may involve supporting large-scale audits (e.g., reconciling SAS to AMP records) and ensuring consistency across systems.

File Organization & Maintenance:

Ensure team files are consistently organized, accessible, and up to date.

Compliance Support (PTIRU Guidelines):

Assist the team in ensuring all documentation and file management practices are in compliance with PTIRU standards. This will include overseeing the process of payment proof documentation, relieving workload from team members currently managing this in addition to their core responsibilities.

Qualifications

Strong attention to detail and organizational skills

Ability to manage multiple priorities and meet deadlines

Proficient in Microsoft Office Suite and general database/data entry tools

Previous administrative or finance-related experience preferred

Experience in post-secondary or educational environments is an asset

Pay: $38,000.00 per year
