Role Description
We are looking for an on-site Administrative Assistant based in Sydney, NSW. This role provides dedicated administrative support to management and the HR function, ensuring the efficient coordination of people, processes, and day to day operational matters across the firm. The position requires a high level of organisation, discretion, and professionalism, with the ability to support senior leadership and handle confidential information appropriately. The successful candidate will play a key role in maintaining structure, compliance, and smooth internal operations within a fast-paced legal environment.
Key Responsibilities
Providing administrative support to senior management and the HR team
Assisting with recruitment processes, including interview scheduling, candidate correspondence, and onboarding documentation
Maintaining accurate employee records and HR files in accordance with compliance requirements
Coordinating performance review documentation and internal reporting
Managing calendars, meetings, and internal communications for management
Preparing reports, correspondence, and documentation packs as required
Handling phone and email enquiries with professionalism
Assisting with payroll coordination, leave tracking, and general HR administration
Supporting internal events, training sessions, and staff engagement initiatives
Performing general office administrative tasks to ensure smooth daily operations
About You
To be considered for this role, you will need to demonstrate:
Strong administrative and executive support experience
Excellent communication skills and phone etiquette skills for professional interaction with clients and stakeholders
High attention to detail and strong organisational ability
The ability to manage confidential and sensitive information with discretion
Strong time management skills, proactive and the ability to prioritise effectively
Proficiency in Microsoft Office Suite and other relevant office software
Prior experience in a law firm or legal environment is an advantage
