Job Overview
We’re looking for a highly organized and detail-oriented Administrative Assistant to help support the day-to-day operations of our service business. This is a brand-new role that will evolve with your experience and input. You’ll work directly with the owner and crew leaders to keep things running smoothly behind the scenes, from booking quotes and coordinating schedules to assisting with invoicing and client communications.
Key Responsibilities
Manage incoming calls and client inquiries, ensuring friendly and professional communication at all times
Schedule appointments, book quotes, and assist the owner in maintaining a well-organized calendar
Perform administrative tasks such as data entry, document organization, and maintaining records
Help manage billing and invoicing using QuickBooks, ensuring payments are tracked and up-to-date
Proofread and format documents for accuracy and professionalism
Assist in organizing team communication, scheduling updates, and client follow-ups
Optional: Take on tasks related to social media management, light graphic design, or project design support depending on your skills
What We’re Looking For
Prior experience as an Administrative Assistant (experience in a service-based or construction company is an asset)
Strong organizational and time-management skills
Confident working with phone systems and delivering great customer service
Proficiency in Google Workspace (Docs, Sheets, Calendar, Gmail, etc.)
Experience with QuickBooks (or willing to learn)
Strong communication and proofreading skills
Ability to work independently, take initiative, and adapt in a fast-moving environment
Bonus: Experience with Canva, social media platforms, or home design tools is a huge plus!

Pay: $17.60-$24.00 per hour
Expected hours: 20 – 40 per week
