Position Description

If you are looking for an opportunity to be an integral member of the Department of Paediatric Laboratory Medicine (DPLM), then we have an opportunity for you!
We are seeking an Administrative Assistant to join DPLM to provide administrative support to Divisional Medical/Scientific and laboratory staff as well as Senior Management in the Division of Biochemistry.
Here's What You'll Get to Do
Maintain calendars, schedule and coordinate routine and complex meetings and appointments, using judgment to reschedule or book appointments according to changing priorities.
Distributing meeting notifications, correspondence, and agenda materials; attend meetings and record minutes.
Coordinate Educational Teaching; manage weekly rounds, webinars, teleconferences, meeting rooms, catering and audio visual equipment. Collaboration with other staff/departments/external contacts.
Organizes and schedules special events, workshops, guest speakers and visiting lectureships as needed. Preparation and distribution of materials for events and arrange all necessary travel accommodation and registration.
Assist Division Head with Resident/Fellow intake as well as Observers and Visitors to the department.
Prepares purchase requisitions, travel and expense claims, process deposits, transfers, invoice and credit card payments.
Responsible for billing, purchase orders, e-procurement, ordering of office and laboratory supplies.
Human Resources functions such as payroll processing (using ExpressNet) and submission of Physician On-Call Stipends. Assist Senior Management with recruitment process for laboratory staff by contacting candidates, scheduling interviews and arranging employee performance reviews.
Use the Laboratory Information System Software to support the Divisional Medical/Scientific Staff.
Process physician memberships and renewals.
Update and maintain CV types. Assist with grant applications and obtain signatures as required.
Assist with REB renewals/edits, submission of manuscripts, journal articles, poster presentations and abstracts.
Establish and maintain paper and electronic filing system.
Works as part of a team to provide administrative support and clerical function coverage for other DPLM divisions as required.
Handle incoming inquires and other duties as they arise.
Here's What You'll Need
Post-secondary degree/diploma in business or office administration or an equivalent combination of relevant experience and education
Several years of administrative experience is required, preferably in the health care industry.
Previous experience in a Research setting is an asset.
Expert knowledge and proficiency in all Microsoft Office applications (Outlook, Word, Excel, PowerPoint) is a required.
Experience with WebCv and Common CV is required.
Exceptional interpersonal, oral and written communication skills.
Demonstrated ability to handle multiple tasks and prioritize work in an efficient and organized manner.
Well-developed time management skills.
Ability to problem solve effectively.
Ability to work well independently as well as in a team environment.
Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives
