Job Description
Wages: Based on experience and in accordance with the Canadian Office and Professional Employees Union (COPE) - Local 254 Collective Agreement.
Category 1 Administrative Assistant
Ability to effectively communicate with members, staff, contractors and the public
Open, sort, and distribute incoming mail and correspondence in a timely manner
Monitor and manage email inboxes, responding or redirecting as appropriate
Answer and direct phone calls professionally
Maintain organized digital and physical filing systems
Accurate and timely completion of high volume data entry with attention to detail
Assist members with in-person and electronic payments and inquiries
Balance daily receipts and prepare bank deposits for both fringes and counter transactions
Assist with all events hosted by Local 254
Ensure office areas remain organized and presentable
Assist team members across the office with assigned administrative duties, as required
Qualifications, Skills & Experience
2-3 years of experience as an administrative assistant. Experience in a unionized environment is beneficial but not required
Strong organizational and time management skills, with the ability to prioritize and meet deadlines
Excellent written and verbal communication skills
High attention to detail, with a focus on accuracy and completeness
Ability to manage multiple tasks, including high-volume data entry, efficiently
Proficiency in Microsoft Word, Microsoft Excel, and Microsoft Outlook
Must be able to balance reports to deposits on a daily and monthly basis
Basic understanding of outstanding deposits, cash over/cash short and the ability to track amounts
Professionalism, reliability, and accountability, with consistent follow-through
Ability to handle confidential information with discretion
Willingness to learn, take initiative, and adapt
Hours of Work & Salary
9:30 - 4:30, 5 days per week (30 hours weekly)
Extended health benefits package and pension plan upon completion of a 3 month probationary period
Pay: $21.00-$23.00 per hour
