Location: Vancouver, BC
Salary: $45,000 – $55,000 per year

We are currently seeking a motivated and detail-oriented Administrative Assistant/Billing Coordinator to join our close-knit team. This is an excellent opportunity for someone looking to grow their career in a supportive and professional environment.
Key Responsibilities
Accounting & Financial Support
Manage all client billing, including processing Work In Progress reports, preparing pre-bills, and finalizing monthly invoices for four partners
Revise and distribute finalized invoices to clients
Maintain accurate client records and provide attentive customer service
Monitor accounts receivable and follow up on outstanding balances
Process credit card payments and prepare bank deposits
Assist with ad hoc billing projects, including task-based billing and system improvements
Administrative & Office Support
Greet clients and manage incoming calls with professionalism and warmth
Assist with opening new matters and organizing files
Provide general administrative support and as needed
Qualifications
Required Skills & Experience
Minimum 2+ years of customer service experience
At least 1+ year of administrative experience
Strong organizational and time-management skills
Excellent written and verbal communication skills
High attention to detail and accuracy
Proficiency in Microsoft Office and Adobe
Assets
Experience in a law firm or professional services environment
Familiarity with invoicing and billing processes
Experience with legal software such as Cosmolex, NetDocuments, or similar systems
