Duties/Responsibilities:
Manage intake calls.
Support reception and client experience for in person visits.
Manages clinician calendars and client communications.
Manage business to business logistics such as office service contracts and appointments.
Run Errands for Office
Reliable Personal Transportation Require
Support billing department on sending and rectifying claims.
Manage intake paperwork collection and ensure EHR files are accurate.
Assume responsibility of maintenance of office equipment.
Regular and reliable attendance and timely arrival to work is required.
Attend mandatory staff meetings and training as directed by the CEO.
Passion for working with others (being collaborative) and helping our team members grow and learn.
Manages office refreshments and promotional stock to include purchasing, delivery and stocking.
Manage travel arrangements for staff as required.
Manage Client intakes, inquiries, schdualing, and billing.
Check insurance benefits for new and established clients.
Available upon request for various conferences, events, pop-ups and open houses.
Maintains supply inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies, to include keeping fresh stock of refreshments for staff and guests.
Responsible for maintaining reception hospitality services and break room.
Manages mail deliveries in and out for office staff.
Take care of promotions on social media to include Facebook, Instagram, TikTok, LinkedIn, etc.
Update the website and advertisement ads
Update directories and promote the practice
marketing to increase clients
recruiting and interviewing other potential employees
Other duties as may be assigned
Qualifications
- Medical administrative support experience
- Proficiency in using EHR system Simple Practice
- Knowledge of HIPAA regulations and medical terminology
- Strong customer service skills
- Experience with front desk duties and intake processes
- Ability to handle multi-line phone systems and maintain patient confidentiality
