Job Summary
We are looking for a highly organized Administrative Co-Ordinator with willingness to be trained for additional laboratory technical tasks to support both office operations and lab-related tasks. This role is ideal for someone seeking long term flexible employment, who enjoys variety, thrives in a small-team environment, has technical writing proficiency and is comfortable handling both administrative and technical responsibilities.
Key Responsibilities
Administrative Support
· Support daily operations, including miscellaneous administrative tasks
· Organize and maintain both digital filing systems with some physical filing
· Help prepare reports, invoices, and client-facing documentation
· Proactively contact clients by phone and email to confirm job schedules, obtain required information, and follow up on outstanding invoices or documentation.
· Track and order office and lab supplies
Laboratory Support
· Prepare air samples for analysis
· Conduct lab analysis of air samples using phase contrast microscopy (NIOSH 7400) — training provided
· Maintain a clean, organized, and safe lab workspace
· Follow quality-control procedures and document lab work carefully
Qualifications
· Required: Previous administrative experience, self directed
· An asset: Experience in a laboratory or technical services environment
· Confident and comfortable making phone calls and following up with clients
· Fluent in English (spoken and written)
· Strong organizational, multi-tasking, and time-management skills
· Professional manner, with a high level of discretion
· Proficiency in Excel, Word and Adobe Pro.
· Visual acuity for detail-oriented tasks, including working with microscopes or small samples
