Job Title: Administrative Assistant Location: Bangalore Experience: 2+ years Notice Period: Immediate to 15 days Job Description: The Administrative Assistant role encompasses a variety of responsibilities aimed at ensuring the smooth operation of the office environment. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to effectively manage multiple tasks. Responsibilities: ♦ Oversee office supplies, ensuring adequate stock levels and timely replenishment. ♦ Assist with HR processes, including documentation, scheduling interviews, and onboarding new employees. ♦ Coordinate meetings and events, managing calendars, sending invitations, and arranging necessary resources. ♦ Manage documentation, both physical and digital, ensuring proper filing and organization for easy retrieval. ♦ Provide general administrative support to the team, including answering phones, handling correspondence, and responding to inquiries. ♦ Oversee facility management tasks, including coordinating maintenance activities and ensuring a safe and comfortable work environment. ♦ Manage vendor relationships and contracts, including negotiation and procurement of services. ♦ Supervise housekeeping management to maintain cleanliness and orderliness in the office space. Qualifications: ♦ Proven experience as an Administrative Assistant, Admin Executive, or similar role, with at least 2 years of experience. ♦ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software. ♦ Experience in Facility Management, Vendor Management, and Housekeeping Management. ♦ Strong organizational and time management abilities, with acute attention to detail. ♦ Problem-solving skills and the ability to handle multiple tasks simultaneously. ♦ Ability to handle confidential information with discretion. ♦ Knowledge of administrative procedures and best practices. ♦ Capability to work both independently and collaboratively as part of a team. ♦ Bachelor's degree in Business Administration or a related field is preferred. ♦ This job description outlines the key responsibilities and qualifications required for the Administrative Assistant position, including specific experience, technical skills, and personal attributes essential for success in the role.
