Criteria:
• Notice:- Up to 10 days, Immediate joiners will be preferred
• CTC:- Up to 5 LPA based on the right fitment
Responsibilities:
• Procurement: Own the purchase requests of leadership team and fulfil in a cost-effective manner.
• Stakeholder Management: Maintain relationship with Government, Private or Non-Government entities with which company associated and own applicable activities.
• Facility Management: Must involve in Capacity Planning across locations and need to oversee any installations, renovations, and refurbishments. Ensure the seat allocation and maintain the capacity planning reports on regular basis
• Asset Management: Manage and allocate assets to employees during the onboarding as well as separation checklist on the exit across location.
• Travel Desk Operations: Monitor end-to-end travel plans (domestic & oversees) efficiently and cost-effectively – airlines, trains, transport, and hotels as well as negotiate on best rates through vendors
• Vendor Management: Coordinate with all vendors pertaining to licenses, contracts, coworking spaces & IT assets, vendor payments, etc. Evaluate performance of vendors as per percentage for rejection, quality improvement rate, timely delivery & credit terms; develop an alternate vendor base to achieve cost reduction & increase revenues
• Expense Management: Maintain and track the expenses in a daily basis and report to the leadership on forecast/actual periodically
• HR Support (Onboarding & Exit Process): Create email ID involving login credentials, bank account, ID cards, asset allotment, paperwork, etc. Process separation checklist in the system, collect company asset, take backup and deactivate the account. Also need to support HR Recruitment events and interviews.
• Employee Engagement: Have to work with HR team to steer employee morale functions and numerous programs to increase employee drive and commitment
• Process Design & Improvement: Analyse processes while implementing procedural to improve operational efficiency. Managed all phases of administrative and business support services (office, maintenance services, admin account maintenance, etc.) to optimize internal systems and reduce cost. Should contribute to deliver SOPs to standardize the operations.
• Event Coordination: Assist the organization to manage company special events right from inception to finish including planning, finding, and booking venues, liaising with suppliers, handling logistics, determining time, costs, resources, or materials needed to work out on detail event plan, managing budgets and invoicing, organizing accreditation, managing risk and presenting post-event reports
• Reporting: Should be well versed in creating various reports and comply with the applicable approvals/policies/process/expectation of the leadership
• Must work from office
• Willing to travel within city and across cities for any business purposes.
Experience and Skills:
• Minimum a bachelor’s degree or diploma
• Must have 3 to 7 years of experience as an Admin Executive in IT Services or relevant company
• Should have experienced in Planning & Execution of administrative activities
• Must be well versed and have a strong experience in MS Office tools like Word, Excel, Power Point
• Strong collaboration skills to accomplish the work assigned
• Good understanding of administration and liaison
