Job Description
We are looking for an experienced Administrative Officer to join our newly developing team at the SydneyMSK Flagship Centre. Our goal is to improve the health and well-being of individuals by undertaking high-quality research that promotes the delivery of efficient, patient-centered, evidence-based care.
The Centre is undergoing exciting changes in leadership, goals, and directives. These changes and new roles are expanding the team's capabilities and capacities across the board. This is your opportunity to be part of a growing and newly established team, providing operational and administrative support to multiple executive and management-level stakeholders.
In this role, you will be expected to assist with administrative tasks such as diary management, prepare catering for meetings, coordinate calendars, conduct travel booking, take minutes, and have the opportunity to attend portfolio meetings. Overall, we are looking for an experienced and resilient Administrative Officer to join the newly developing changes at the Centre.
Your key responsibilities will be to:
deliver general administrative services and operational support, ensuring efficient and effective operations within the work area
explore administrative matters, escalating where appropriate to management and supporting with solutions to assist decision-making processes
analyse incoming enquiries and correspondence, appropriately distributing to the accurate personnel, facilitating clear and professional communication at all times
provide high-level administrative support, including diary management, travel, and accommodation arrangements, to facilitate smooth operations for the work area
prepare appointments and seminars, liaise with internal and external stakeholders such as researchers and administrative staff
attend portfolio meetings to minute-take and provide general administrative research support where appropriate
complete ad-hoc tasks, activities, or objectives under guidance of management.
About you
Bachelor's degree in business administration or a relevant field
two to four years of administrative experience, including diary management, purchasing, and invoicing
excellent communication skills, both written and verbal, with the ability to interact effectively with diverse internal and external stakeholders including academics, researchers and executive staff
high computer literacy skills, including a strong working knowledge of the Microsoft Office Suite, as well as University systems including Workday, Concur, SharePoint, EmmaHQ, and UniBuy
background knowledge of database management systems, including Qualtrics and REDCap (desirable)
exceptional organisation and time management skills, with a proven ability to manage multiple tasks and meet deadlines
demonstrated ability to work collaboratively within a team environment, contributing to a positive and productive workplace culture
ability to travel between multiple sites as needed with some work from home options as required.
