About the College:
The Royal Australian and New Zealand College of Obstetricians and Gynaecologists (RANZCOG) is the leading standards body responsible for the training and education of specialists and GP obstetricians in obstetrics and gynaecology in Australia and New Zealand.

Description:
We are looking for a strong administrator who is comfortable working with a number of competing priorities and strong interpersonal skills. You will be responsible for the support and co-ordination of RANZCOG working parties (Statement Development Groups) established by the College to develop evidence-based clinical guidance statements on a range of women’s health issues. You will assist the Chairs and working party members to progress activities out of session, including fielding enquiries, co-ordinating correspondence, as well as setting up meetings and agendas, taking minutes and following up on actions.

This is a part time (30 hours per week), 2-year fixed term contract position.

Key Responsibilities:
Co-ordinate the activities of a number of Statement Development Groups working simultaneously to develop evidence-based clinical guidance statements on a range of women’s health issues.
Provide administrative support of working party meetings (videoconferences) including: setting meeting dates, preparation and distribution of agenda and meeting papers, compilation and release of meeting records and follow-up actions.
Assist Chairs and working party members to progress activities and follow-up actions out of session, including fielding enquiries, co-ordinating correspondence and consultations, as required.
Support the establishment and stand down of time limited working parties through administrative tasks of members’ correspondence, evaluation and maintenance of registers.
Co-ordinate the document management systems (electronic register and tracking systems) that support RANZCOG statements, including maintenance of a central reference library using bibliography software (EndNote or similar software).
Assist in Statement Development Group reporting requirements to relevant Committees.
Field online and time sensitive enquiries in relation to clinical guidance statement development initiatives and issues, as they arise.
This role will require some out of hours work to attend evening meetings. Time in lieu and flexible options are available.

Skills and Experiences:
The ideal candidate will have:
Proficiency in meeting co-ordination, including demonstrated experience in the preparation of meeting papers and co-ordination of records (minute taking).
Demonstrated interpersonal skills and the ability to liaise and communicate effectively with a wide variety of stakeholders, individuals, and groups.
Ability to work collaboratively and share information with colleagues and key stakeholders.
Highly developed verbal and written communication skills, particularly with regard to document writing and correspondence.
Highly developed planning and organisational skills, including the ability to effectively handle conflicting priorities, establish timeframes and meet deadlines.
Knowledge of personal computers within a MS Windows environment (advanced skills in Word/Excel, use of customer relationship management systems), and online portals supporting the workflows of clinical guidance statement development.
An interest in, and commitment to, issues concerning women’s health is an advantage.
Previous experience working with medical committees will be highly regarded.
