Role Responsibilities
Are you detail-oriented and skilled at supporting complex coordination efforts? We are currently seeking an Administrative Assistant to support the Priority Issues Coordinator, Executive Advisor, and Leadership team within our Forestry Division. This role plays a key supporting function in ensuring priority issues, ARTS requests, and tracking processes are managed accurately, efficiently, and on time. Key Responsibilities:

Assist in the preparation, formatting, tracking, and review of documents to support clear communication, understanding of issues, and recommended actions.
Support quality control by ensuring documents is accurate, consistent, complete, and aligned with established standards prior to submission.
Assist in maintaining and updating the Division’s issues tracker, action requests, and supporting records to ensure timely and accurate reporting.
Provide administrative support with scheduling meetings and updating calendars.
Provide administrative and coordination support for situation reports, action request metrics, and briefing materials as required.
Liaise within the organization to gather information, follow up on outstanding items, and support timely responses to requests.
Identify potential gaps or risks in information flow and escalate concerns to the Priority Issues Coordinator as appropriate.
Provide administrative support to the PIC as it relates to collaboration with Executive Directors, Directors, Managers, and other department staff
Provide back-up support to the Priority Issues Coordinator as required, including assisting with setting up and tracking ARs.

Qualifications
Minimum Requirements:

High school diploma plus one (1) year of related experience.
Proficiency in Microsoft Office Suite applications (Word, Excel, Outlook).
Proficient computer skills, encompassing keyboarding, data record management, and demonstrated organizational experience
All candidates must be 18 years of age or older as of March 1, 2026, or prior to their start date. Position start dates range from March 1 to April 30, 2026.

Equivalencies will be considered and candidates with lesser qualifications may be considered at a lower classification and salary.
Directly related experience or education may be considered on the basis of:
one year of experience for one year of education or
one year of education for one year of experience.

What We Offer:

Wage employees receive 11.6% in addition to regular wage earnings in lieu of paid holidays and vacation leave:
5.6 percent of regular wage earnings instead of paid holidays.
6 percent of regular wage earnings instead of annual vacation pay.
Shift differential and opportunity to work overtime, evening, and weekend shifts.
About Your Work Environment:

This competition is recruiting for seasonal wage Wildfire Information Officer positions with weekly hours of work up to 36.25.
This position may require you to work evenings and weekends to meet fire season operational needs.
Successful candidates will be provided with training.
The estimated term of employment is from 3 to 8 months during the wildfire season, anticipated between April 2026 and October 31, 2026.
About Your Application:

Final candidates may be provided a written assignment as part of the assessment process.
Your resume should indicate date ranges (month and year) for all education and work experience, specifying if the experience was casual, part-time (PT), or full-time (FT), while highlighting applicable duties or achievements.
For example, Wildland Firefighter: Apr 2019 – Aug 2019 (PT, 20 hours per week).
