We’re seeking a highly organised and detail‑driven Laboratory Administrator to support the smooth and efficient operation of our SOS Oil Laboratory. Reporting to the Mechanical Fluid Analysis Lead, you will play a key role in ensuring accurate data entry, timely customer support, and seamless administrative coordination across the laboratory team.

This role is ideal for someone who thrives in a fast‑paced environment, enjoys problem‑solving, and takes pride in delivering high‑quality work that supports broader business objectives.


Roster: Mon – Fri 8.5 hours per day (including unpaid meal breaks)

Location: South Guilford


What you’ll do:

Accurately enter all oil analysis sample data into CAT SOS within required timeframes (95% accuracy, 24‑hour turnaround).
Respond promptly to customer enquiries via Zendesk and phone, ensuring high‑quality service.
Process SAP orders, VIMs and related purchasing tasks to support uninterrupted laboratory operations.
Provide high‑level administrative support to the Laboratory Operations Manager and broader lab team.
Assist the Laboratory Business Development Specialist, Laboratory Supervisor, Interpretation Team and Marketing with required information and coordination.
Maintain compliance with WesTrac policies, procedures, quality guidelines and safety requirements.
Identify opportunities for process improvements and action approved changes through the CI system.
Provide training and guidance to customers on correct oil sampling procedures to improve data quality and customer satisfaction.

Skills and Experience:


Certificate III in Business Administration desirable (not essential).
Minimum 3 years’ experience in a customer service or administrative role.
Strong communication skills — written, verbal and interpersonal.
High attention to detail with proven accuracy in data entry.
Intermediate computer literacy (MS Office, SAP, internet‑based systems).
Excellent time management and organisational skills with the ability to manage multiple priorities.
Ability to work both autonomously and collaboratively within a team.
Experience in a Caterpillar dealership or with WesTrac systems desirable.
Exposure to quality assurance or audit control processes advantageous.
