Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role involves managing daily administrative tasks, providing exceptional customer service, and ensuring smooth office functioning to support our team and clients effectively.
Duties
Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professional phone etiquette
Perform data entry and maintain accurate records using Microsoft Office and Sage Accounting
Handle filing systems, document proofreading, and organization of office files for easy retrieval
Assist with bookkeeping tasks and basic bookkeeping using Sage Accounting
Provide customer support through email, phone, and in-person interactions
Perform general clerical duties such as photocopying, faxing, and preparing correspondence
Maintain a clean and organized front desk area to ensure a welcoming environment
Order office supplies
Qualifications
Proven experience in an administrative or clerical role,
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and data entry skills
Experience with Sage Accounting or bookkeeping software is a plus
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent communication skills, both verbal and written, with professional phone etiquette
Ability to handle customer service inquiries with professionalism and patience
Familiarity with multi-line phone systems and front desk operations
Attention to detail for proofreading documents and managing files accurately
Demonstrated computer skills including typing speed and proficiency in office equipment operation
